By accessing and using Refine AI's services, you accept and agree to be bound by the terms and provisions of this agreement. If you do not agree to abide by the above, please do not use this service.
Refine AI designs and deploys rule-based operational automation systems that eliminate lead leakage, enforce instant and consistent follow-up, and convert existing inbound demand into booked calls and completed actions. Our services include lead intake automation, follow-up automation, hot lead prioritisation, handoff and visibility systems, and custom AI tools.
Important Disclaimer: Refine AI executes operational tasks only. We do not provide legal, financial, immigration, or advisory services, and our AI systems do not make decisions—they only follow client-defined rules.
Refine AI systems collect, store, route, and trigger actions based on predefined rules only. Systems execute operational logic; they do not interpret, advise, assess eligibility, or make professional judgments. Any request that requires interpretation, advice, or discretionary decision-making is out of scope by default.
Payment terms will be specified in individual service agreements. Implementation fees are due upfront. Monthly retainer fees are billed in advance. A minimum retainer commitment applies as specified in your service agreement. All fees are non-refundable unless otherwise specified in writing.
An ongoing retainer is required for system uptime, monitoring, optimisation, and compliance enforcement. Without an active retainer, Refine AI provides no guarantees of system performance. Lapsed retainers result in monitoring suspension, optimisation freeze, and delayed incident response.
You retain ownership of your business data and content. Refine AI owns and controls system architecture, automation logic, AI prompt frameworks, and integration logic. Clients are granted usage rights, not ownership. Infrastructure is not transferred, duplicated, or white-labelled unless explicitly agreed in writing.
Clients are responsible for: human response to escalated leads, advisory decisions and outcomes, compliance with legal and regulatory obligations, and staff adherence to defined workflows. System performance does not compensate for human inaction. If staff bypass the system, performance is no longer guaranteed.
System scope is fixed at contract signing. New services, intake flows, automation branches, channels, or integrations require formal scope review. No work is performed without written scope approval. Changes are implemented only post-deployment, under retainer, and when supported by usage data or workflow changes.
Refine AI's liability is limited to the fees paid for services rendered. We are not liable for indirect, incidental, or consequential damages arising from the use of our services. Refine AI is responsible for system execution—not deal outcomes. Human non-response does not constitute system failure.
Either party may terminate services with 30 days written notice, subject to minimum retainer commitments. Upon termination, all outstanding invoices become immediately due. Clients may be suspended or terminated if they request advisory or eligibility decisions from AI, ignore system guardrails, refuse to follow defined workflows, or attempt scope expansion without agreement.
Refine AI reserves the right to modify these terms at any time. Changes will be communicated via email and posted on our website. Continued use of services after modification constitutes acceptance of the updated terms.
